Getting Started
How long does it take to get up and running?
Most organisations are live within a few weeks. The timeline depends on how many roles you are defining expectations for and how much internal input is needed at setup. SMEs with a focused set of roles can often be operational in days. Larger organisations with complex role structures or multiple sites typically take two to four weeks.
Do we need an IT team or HR department to implement Calibrate?
No. Calibrate is designed to be set up and run by operational leaders, founders and managers without specialist HR or IT resource. Our onboarding support guides you through the process from the first login.
What does onboarding look like?
We work with you to set up your organisation's role expectations, configure your workflow, and ensure your team is ready to use the platform from day one. Enterprise customers receive a dedicated implementation manager. SME customers have access to guided setup and direct support.
Can we try Calibrate before committing?
Yes. Get in touch and we will arrange a tailored demo and, where appropriate, a pilot with a specific team or function before a wider rollout.
The Platform
What is a Critical Role Expectation and how do we create one?
A Critical Role Expectation (CRE) defines precisely what good performance looks like for a specific role in your organisation. It goes beyond a job description by capturing the tasks, behaviours and standards that constitute genuine competence. Calibrate guides you through building CREs using our setup wizard, with AI suggestions to help you move quickly.
How does the self-assessment process work?
Employees assess themselves against their role's expectations on a regular cadence, providing evidence and examples for each one. The platform includes AI-powered STAR Coaching to help employees articulate their evidence clearly. Managers then review assessments, approve or return them for revision, and use the insight to have better performance conversations.
What is the Calibrate Assistant?
The Calibrate Assistant is an AI-powered coaching layer embedded within the platform. It is not a generic chatbot. It knows your organisation's roles, expectations and standards, and uses that context to help employees understand what is expected, interpret their self-assessment results, and identify what to focus on next. Managers use it to prepare for coaching conversations and translate performance data into meaningful action.
Is my conversation with the Calibrate Assistant private?
Yes. Your conversations with the Calibrate Assistant are personal to you. They are not visible to your manager, your colleagues or anyone else in your organisation. The Assistant is designed to be a safe space for honest reflection and development, so you can ask questions, explore challenges and seek coaching without any concern about who else might see what you have written. Your responses and conversations are stored securely, scoped to your individual account, and treated with the same confidentiality as any other personal performance data within the platform.
Can managers or administrators see what employees ask the Calibrate Assistant?
No. Conversations with the Calibrate Assistant are confidential to the individual user. Managers and administrators can see aggregated performance data, assessment scores and development plans, but they cannot access the content of individual chatbot conversations. This is a deliberate design choice: the Assistant only works as a genuine coaching tool if employees feel they can use it openly and honestly.
Is Calibrate available on mobile?
Yes. Calibrate is available as a native app on iOS and Android, as well as via web browser on any device.
What languages does the platform support?
The platform is currently available in English and French. Multi-language support is available as an add-on for organisations with multilingual teams.
What reports does Calibrate produce?
Calibrate includes a comprehensive reporting suite covering compliance, competence, indicator completion, verification pipeline, action plan rates, training demand, role fit and readiness, promotion readiness, underperformance identification, competency heatmaps and more. Reports support custom date ranges, granularity filters and CSV export for audit and governance purposes.
Pricing and Contracts
How is Calibrate priced?
Calibrate is priced per head per month across three packages: Essentials, Standard and Professional. Volume pricing applies automatically as your user numbers grow. Enterprise pricing for organisations of 1,000 or more users is agreed directly. See our pricing page for full details.
Is there a minimum contract length?
Monthly billing is available with no long-term commitment required. If you pay for the full year upfront at signing, and then annually thereafter, you receive 12 months of access for the price of 10. Enterprise contracts are agreed individually and typically run on annual terms.
What happens if we want to cancel?
Monthly customers can cancel at any time. Annual customers can cancel at their renewal date. We do not lock organisations into contracts they do not want to be in.
Can we add or remove users mid-contract?
Yes. Users can be added or removed at any time. Billing adjusts at the next billing cycle.
What is the benefit of paying annually?
Yes. Customers who pay annually receive 12 months of access for the price of 10. Enterprise customers may negotiate additional volume terms as part of their contract discussion.
Security and Data
Where is our data stored?
Calibrate is hosted on AWS infrastructure within the EU (eu-west-2, London). Data does not leave the EU.
Is Calibrate GDPR compliant?
Yes. Calibrate is built with GDPR compliance as a foundation. We act as a data processor on behalf of your organisation. A Data Processing Agreement is available on request.
How is data isolated between organisations?
Calibrate uses a multi-tenant architecture with strict data isolation. No data from one organisation is accessible to another.
Can we export our data if we leave?
Yes. All your data can be exported in full before you close your account. We will not hold your data hostage.
How are file uploads and evidence stored?
Evidence uploads, survey attachments and documents are stored securely using AWS S3 with pre-signed URL access. Files are scoped to your organisation and are not accessible by other tenants.
What personal data does Calibrate hold about individual employees?
Calibrate holds the data needed to run your people operating system: name, email, role, self-assessment responses, competency scores, action plans, development notes and evidence submissions. This data is owned by your organisation and processed by Calibrate on your behalf under a Data Processing Agreement. Employees can request to see their own data at any time. Data is retained in accordance with your contractual terms and can be exported or deleted on request.
Integration and IT
Does Calibrate integrate with our existing HRIS?
Direct integrations with third-party HRIS platforms are on the roadmap. Currently, users can be created and managed within Calibrate directly or via our admin tools. Get in touch to discuss your specific integration requirements.
Does Calibrate support Single Sign-On?
SSO integration is available for Enterprise customers. Get in touch to discuss configuration for your identity provider.
What are the technical requirements for using Calibrate?
Calibrate works in any modern web browser with no software installation required. Native mobile apps are available on iOS and Android. The platform also supports PWA installation on desktop and mobile devices.
Does Calibrate have an API?
API access for integration with other systems is available for Enterprise customers. Get in touch to discuss your requirements and we will be happy to explore what is possible.
Support
What support is available?
All customers have access to direct support via email. Enterprise customers receive a dedicated implementation manager and priority response times. We aim to respond to all support requests within one business day.
What if we need help setting up our role expectations?
Our team can work with you to build your first CREs, especially if you are new to defining role-level performance standards. This is included in Enterprise onboarding and available as an add-on for SME customers.
Do you offer training for our team?
Yes. We provide onboarding training for both managers and employees as part of implementation. Additional training sessions can be arranged as your team grows or as you roll Calibrate out to new functions.
What happens if something goes wrong with the platform?
Calibrate is hosted on AWS with high-availability infrastructure. In the event of any service disruption, our team responds immediately. Enterprise customers have direct escalation paths and SLA-backed response times.
